How do parent sessions and subsessions work?

It is possible to organize your agenda data into parent sessions and subsessions (or child-presentations). This is especially useful if you have sessions with individual presentations or abstracts. Your main session is the parent, and the shorter presentations become subsessions. 



If you are using a third party data source, we will work with you or your contact with that source to set this up.


If you are setting up your data in a spreadsheet, take the following steps:





  1. Fill in the required fields like session title, session ID, and session type for the parent session and each subsession.
  2. Each subsession must share the following with the parent:
    1. same date
    2. same session type 
    3. time frame within the parent (e.g. if your parent session is from 10-11, the child session must occur within 10-11 and not in the afternoon)
  3. Designate the subsessions by typing the ID of the parent session into the Parent Session column, like this:
  4. For parent sessions, leave that column blank.
    Also leave blank for Sessions that have neither parents nor subsessions.
  5. In the app and planner itself, subsessions are listed at the bottom of the parent session.
    Each submissions displays the parent for easy circular navigation.

Can users add individual child presentations (sub-sessions) to their schedule? 

Yes. Users can add parent and/or subsessions to their schedules independently from each other. 


Is it possible to just list all abstracts in a parent poster session and not display individual subsessions for abstracts?

Yes. You could merely link all media items (the individual abstracts/posters) to a parent session and skip displaying child-level presentations. In this case, also add a tab that links to the full list of all abstracts that includes an abstract search.

 


I have 1000 posters per day. How should I structure my poster sessions for best user experience? 

Posters can be linked either as media items or as child presentations within a session. While attendees can search abstracts and sessions directly, many still browse the program by topic.


From an attendee perspective, placing all 1,000 posters into one large poster session creates a long list that is difficult to scan and browse. On a mobile device, typically no more than 10 poster titles can be viewed at a time. Attendees may have to scroll through many screens to find posters relevant to their interests.


A better user experience is to organize posters into topic-based poster sessions, with each session containing a manageable number of posters, typically around 10 to no more than 50. This gives attendees a clearer path through the poster content and makes it easier to discover relevant presentations.
