Exhibitors
To use the standard exhibitor import from ExpoCAD, ask your ExpoCAD representative for your Event ID and confirm that your event is available through the Smithbucklin ExpoCAD integration.
To set up the import:
- Access the Conference App Builder. From the ATIV Software website, choose Organizer Login > EventPilot.
- Select your project.
- Navigate to Expo > Exhibitors.
- Click Add Import.
- Give your data source a name, e.g. ExpoCAD.
- From the Import Source Type dropdown, choose Expocad.
- Click Next.
- In the Data step, enter your Event ID (case sensitive) exactly as provided by ExpoCAD.
- There is also an optional Custom Code field, used only if your organization has a custom parsing script. Leave it blank unless your ATIV Project Manager has provided instructions.
- Select Next and complete the field mapping. Common mappings include:
idto Exhibitor IDnameto Organization Nametypeto Exhibitor Type. This uses the ExpoCAD company type description, such as Silver Sponsor. Exhibitors without a non-default company type receive the label Exhibitor.descriptionto Description. ExpoCAD supplies this from the directory’s short description.websiteto Organization Websitesales_contact_emailto Email when the sales contact email should appear in the exhibitor detail view. Otherwise choose -- Do Not Import --.logoto Organization Logoboothsto Location. Multiple booth numbers are separated by commas.countryto an available filter field when attendees should filter exhibitors by country.field1 through field9to appropriate available filter fields when your ExpoCAD event uses these additional fields. Check the sample values to confirm what each field contains before mapping it.
Choose -- Do Not Import -- for fields you do not want to display.
- Click Next to complete the import.
- Review the Results tab to check whether any records were skipped.
Only fields populated in ExpoCAD will contain data. If descriptions, logos, booth numbers, or sales contact emails are missing, confirm that the information is available in your ExpoCAD directory and that the corresponding fields are mapped in the Conference App Builder.
Note: For EventPilot Pro users, your Project Manager can help with any customizations you have purchased.
FAQ
How do I import changes after the initial setup?
Go to Expo > Exhibitors, expand the import card if needed, and click Import beside your existing source. Review the Results for skipped records.
Will importing changes immediately update the attendee app?
Importing updates the Conference App Builder. Use Publish Proof Data to review the changes in the proof version, then Publish Live Data when they are ready for attendees.
Can I exclude contact emails or other fields?
Yes. Set fields you do not want to display to -- Do Not Import -- in the field mapping.
When should I use Custom Code?
Leave Custom Code blank for the standard import. Use it only when your ATIV Project Manager provides instructions for a custom import.
How soon can I import changes made in ExpoCAD?
Each standard import requests the data currently available from ExpoCAD; EventPilot does not wait for a scheduled importer cache refresh. Once your changes are available through the ExpoCAD integration, re-run the import. If older information still appears, ask your ExpoCAD representative whether the changes need to be published or synchronized. Review and publish the imported changes in EventPilot before making them available to attendees.
Why is some exhibitor information missing?
Confirm that the information is populated in ExpoCAD and mapped in the Conference App Builder. Descriptions, logos, booth numbers, and sales contact emails come from the ExpoCAD directory. Check the Results for skipped records.
How are company types and sponsorship levels imported?
Map type to Exhibitor Type. The import uses the company type description from ExpoCAD. Exhibitors without a non-default company type receive the label Exhibitor.
How are multiple booth numbers displayed?
Map booths to Location. When an exhibitor has multiple booths in the ExpoCAD directory, the booth numbers are separated by commas.
