How do I configure my Vimeo account settings for content uploads?

In order for EventPilot to upload your virtual session recordings or speaker portal videos to your own Vimeo account, you need to configure your Vimeo account settings and share some information with us.


Tip: If you are using the Vimeo integration for hosting the live session recordings and you wish to hide some of the recordings, simply let your project manager know the session IDs in advance. 


Purchase your Vimeo Account

  1. Go to https://vimeo.com/upgrade and purchase either a Business or Premium account. Only these two types of accounts have no weekly upload limits. 



API Integration: Set up your Vimeo "App"


  1. Log into your Vimeo account and go to developer.vimeo.com/apps
  2. Click the Create an app button in the upper right of the page
  3. Enter an App Name like EventPilot Integration
  4. Enter an App Description like Speaker Videos
  5. For the question Will people besides you be able to access your app? Select NO
  6. Check the box to agree with Vimeo's license agreement and terms
  7. Click Create App
  8. On the following page, look for the link Request Upload Access
    1. For the question Will you be charging? Select No
    2. For the question Where will these videos be uploaded? select My account
    3. For What kind of videos will be uploaded? you can enter Academic conference presentations
    4. Click the button Request Upload Access
      It can take up to 5 business days to receive upload access.
  9. Wait until you have received upload access. Only after you receive access, continue with the next step. 
  10. Once you have received upload access, click the Generate button for the Personal Access Token - Note: make sure you select the Authenticated (you) option and check the following under the Scopes header: 
    1. Public (required)
    2. Create
    3. Interact
    4. Private
    5. Edit 
    6. Delete
    7. Upload (the Upload option will be enabled once you have received upload access)
  11. Copy the token value and save it on your computer where you can find it again - you cannot access the full token value again at a later time. If you lose this value, you must repeat step 9 and Generate another. Learn more at Vimeo access token FAQ

            



Information to Provide to ATIV for Setup


NOTE - any values shown in screenshots are only examples - your values will be different.

  1. Log into your Vimeo account and go to developer.vimeo.com/apps
  2. Select the App you have created in the step above
  3. Collect the following information: 
    1. Client identifier which you'll find on the top of the page 
    2. Client secret - this is found near the bottom of your app's main page
    3. Access token - if you've just created a new app, you'll have to generate a token.  But first, you need to request access to to upload videos
  4. Send the three values plus our Vimeo account credentials to your project manager to set up your API integration.





Vimeo Settings: Playback Control via Embed Presets


In the image above you can see that we are using an "embed preset" called EP-Private (under Choose embed preset to apply to your videos). 

These presets determine the video playback and help you control access: 

You will notice that Share and Embed are turned OFF - unchecking these ensures that only your registered attendees have access to the content and cannot publicly share these videos outside of your conference.


  1. Log into your Vimeo account at https://vimeo.com/
  2. Hover over your profile icon on the top right and select Settings
  3. In the Settings menu on the left, click on Videos
  4. Select Embed presets



Preset 1 for Simulive 

The idea behind Simulive is that the pre-recorded videos play back at a given time, matching your onsite presentation at a hybrid event. In order to accomplish this simulive experience, the play bar must be hidden. 


  1. In the Embed presets page, click Add new preset
  2. Enter the name EP-Simulive
  3. Match the settings as shown in the screenshot below and click Save at the bottom of the screen: (NOTE - Do NOT check the "Also apply to all existing videos" checkbox - that will change settings on ALL your videos)



Preset 2 for Zoom Recording playback and OnDemand Speaker Video Uploads

For on demand videos and watching a Zoom recording of a live webinar, the play bar is displayed with the speed control option. This is important for attendees. If you remove that option, they will ask for it.


  1. In the Embed presets page, click Add new preset
  2. Enter the name EP-Private
  3. Match the settings as shown in the screenshot below and click Save at the bottom of the screen: (NOTE - Do NOT check the "Also apply to all existing videos" checkbox - that will change settings on ALL your videos)



Naming Convention in the Vimeo Account


Our system will automatically generate a single folder with your conference ID (e.g. ASR21), into which all of your videos will go.


Video recording files themselves will be named as the conference ID, the session ID in parentheses, and the title of the session. For example, ASR21 - (115) Religion and Violence.

Vimeo Settings: Access Control 


If you want to limit only registered logged in users to watch the uploaded videos, adjust the following settings in your Vimeo account: 


  1. Log into your Vimeo account at https://vimeo.com/
  2. Hover over your profile icon on the top right and select Settings
  3. In the Settings menu on the left, select Videos and Upload defaults
  4. Under the heading Privacy, select Hide from Vimeo
  5. Where can your videos be embedded? allows your videos only to be embedded on specific domains, as shown in the above image. For conference attendees to view the videos in the EventPilot platform, add the following domains:
    1. eppro01.ativ.me
    2. eppro02.ativ.me
    3. ativ.me
    4. eventpilot01.ativ.me
    5. eventpilot02.ativ.me
