Anyone who sets up a new project becomes the owner of that project. Project owners can purchase, upgrade, and cancel subscriptions.
Access your current project status
- In the Conference App Builder (CMS), click on your monogram circle on the top right hand side to open your account drawer
- You can see all details for the current project including
- your Username (email address you used to log into the Conference App Builder)
- the name of the current project (which you can change in the Conference App Builder > Settings > Basic Settings)
- your own Status, if you are a team member or project owner
- the name of the Project Owner
- the Project ID - reference this when contacting support
- the Project Status which shows if your project is Active (currently hosted) or Disabled (no longer hosted)
- the number of the published Live Version (the number of live data updates you have published)
- for multi-event shell app users, the name of the Shell app is listed, into which the project can be loaded
- and if the project is on a Subscription plan
Switch to a different project
- In the Conference App Builder (CMS), click on your monogram circle on the top right hand side to open the account drawer
- Click the Change Project button
Add and manage team members
If you are the project owner:
- In the Conference App Builder (CMS), click on your monogram circle on the top right hand side to open the account drawer
- Click the Manage Team button
- Click the Invite Team Member button
- Fill in the form to invite the team member and click Send Invitation
To remove team members, click the trash can icon.
If the owner of a project has left your organization and you are a team member on a project, please submit a support ticket to make a team member the new owner. Ensure to include the team member's email address and Project ID.
Create new projects
- In the Conference App Builder (CMS), click on your monogram circle on the top right hand side to open the account drawer
- Click the Create New Project button.
Note for branded Multi-Event Shell app users: if you want to create a new project to appear in your shell app, you must be the project owner of the shell app itself. When you create the project, you can choose your branded shell app. If you do not have that selection, you are not the owner of the shell project. Contact your project manager at ATIV.
Manage subscriptions, view invoices, and update payment details
- In the Conference App Builder (CMS), click on your monogram circle on the top right hand side to open the account drawer
- Click the Manage Projects link
- The Manage Projects window opens and displays all projects you have access to, either as a team member of as an owner. If you are the project owner, you can:
- View Invoices
- Update Payment Information
- Cancel Subscriptions - a cancelation before the next renewal will stop the auto-renewal.
FAQ
How long are subscriptions?
An EventPilot Conference App subscription is limited to 3 months. So if you purchase a subscription on January 3rd, your subscription will end on April 3rd. The system uses relative dates like "last day of the month", so if you purchase a subscription on February 28, it will end on May 31st.
Note: ScanHunt subscriptions are monthly and auto-renew each month. Cancel as needed.
Does an EventPilot subscription auto-renew?
EventPilot subscriptions are set to automatically cancel after 3 months, which generally meets the needs of small conferences. If you need to keep your project active, you can renew a subscription within 90 days after it expired.
Note: if you purchased a subscription for the ScanHunt, it behaves differently and automatically renews.
I bought a subscription last year and now I have my conference again this year. Do I renew my last subscription?
Each event requires its own project in the platform, so you would want to create a new project and purchase a new subscription.
I am tax exempt. Is it possible to purchase a subscription without paying the tax?
Changing your tax exempt status is possible for EventPilot subscriptions (not for ScanHunt subscriptions). Contact accounting@ativsoftware.com before you purchase an EventPilot subscription and provide us with a PDF copy of your sales tax exemption certificate.
I have a conference each year and I used an EventPilot subscription project last year. Can I now clone it or duplicate it so I don't have to start from scratch?
Yes. If you are the project owner and the previous project is available to clone, you can create a new project and choose the previous project as the starting point. This helps reuse the project configuration and data sources so you do not have to start from a blank project.
To clone from a previous project:
- In the Conference App Builder (CMS), click on your monogram circle on the top right hand side to open the account drawer.
- Click the Create New Project button.
- Enter the name for the new conference or project.
- If the Clone step is shown, open it.
- In Project to clone from, select the previous project you want to use as the starting point.
- If you do not want to clone a previous project, select None.
- Finish creating the project and wait for the project creation process to complete.
- After the new project opens, review the copied configuration and data sources, update anything that is specific to the new event, then publish to proof and test before publishing live.
If you do not see the Clone step or the previous project is not listed, the project may not be available to clone from your account. You can create a new blank project or contact support for assistance.
Note: Only subscription projects created after August 2025 will be available for cloning.
Can I upgrade a subscription at any time?
Yes, you can upgrade at any time and you are invoiced a prorated amount.
- EventPilot subscriptions: EventPilot subscriptions are set to not automatically renew. Upgrading does not change this setting. You will only be charged the prorated amount for the current subscription period.
- ScanHunt subscriptions: The subscription renewal date does not change. ScanHunt subscriptions auto-renew monthly. The next renewal will run on your upgraded tier.
